Office Assistant/Interpreter Coordinator

About the Job

Summary of Position

The Office Assistant/Interpreter Coordinator is responsible for assisting with
the daily operations of the office. This includes answering the phones for new
intakes, scheduling interpreters for assignments, assignments confirmations, handling
incoming and outgoing mail, assisting staff with various on-going projects. In
addition, the Office Assistant/Interpreter Coordinator is expected to assist
the Office Manager with organizing and maintaining the filing systems, billing
issues, vendor and client relations, operating main office voice mail,
maintaining office equipment.



Job Description

The Office Assistant/Interpreter Coordinator position requires a welcoming
disposition and both strong communication and interactive skills, as this person
is the first ATP employee to greet clients, vendors and answer phones. In
addition, the position requires tremendous organizational skills, excellent
attention to detail and the ability to perform multiple tasks successfully. Strong
computer skills and the ability to learn new programs quickly are a must to
succeed in this position.



You will be
responsible for working with Clients, Project Managers and Linguists/Vendors.
The duties fall mainly into the following categories:

It will be important
to build a good working relationship with the company's staff, vendors, clients
and the translation community as a whole. You will also be responsible for
working with staff to keep the client and vendor data in order and therefore,
helping the company run smoothly. These duties are largely related to operating
and maintaining the integrity of the company’s main FileMaker database. We
operate at a demanding pace, and need someone who enjoys the regularity of
tasks, meticulous work, and can prioritize as well as manage numerous tasks
simultaneously. This is a very detail oriented position, accomplishing both
repetitious and innovative tasks, and we are looking for focused A+ players
with mature and positive attitude. This position is that of a contributing
member of ATP staff.



The following is a
partial description of ongoing tasks required by this position:



1. Phones

-Answer multi-line phone system

-Train others on phone system when it’s needed

-Check office voice mail

-Relaying messages

-Assignments intake

-Schedule assignments with interpreters



2. Mail/Email

-Coordinate receiving incoming and shipping outgoing packages

-Distribute mail and take outgoing mail to the post office or Fedex when needed


-Coordinate mail, email, faxes, courier delivery to/and from vendors and
clients



3.
Office Duties

-Assignment intake

-Schedule/coordinate interpreters

-Organize and maintain filing systems

-Maintain archive of office records (vendor files, etc.)

-Photocopy/fax/mail

-Maintain office appearance (conference room, plants, reception area)

-Keep track of all office equipment

-Act as liaison with clients and linguists

-Prepare collateral packages for new and existing clients

-Collect invoices from linguists



-Maintain
accurate linguist contact information

-Assemble interview and new hire packets



-Internet
searches



-Data
entry & verification

-Regularly update the client & interpreter database

-Maintain office calendar



The position may also
involve special projects and other duties that will arise over time.



Experience &
Education


Undergraduate degree (BA/BS) or equivalent. Fluent in English and one other
language is a plus. Must be strong in Microsoft Office - Word and Excel,
internet and computers in general. Excellent typing skills preferred.
