About the Job

 

The award-winning Renewable Energy Trust (RET) is the leading renewable energy funding agency in Massachusetts.  The RET has an exciting opportunity for a Project Administrator.  The Project Administrator is an integral part of the RET project teams, assisting with project planning, collection of deliverables, processing of invoices, and provision of technical assistance regarding procurement, contracting and Monitoring & Evaluation (M&E) policies and procedures. 

 

The Project Administrator’s primary responsibility is to help Program Management staff ensure that grantees and outside consultants meet their contractual obligations to MTC.  These obligations include adhering to project schedules, producing deliverables in a timely manner, requesting funds within the parameters of the contract, and other contract-specific requirements.    The successful Project Administrator accomplishes this by being familiar with assigned Initiatives/Projects/Contracts and staying up-to-date on their status.  He/she identifies issues as or before they arise, and resolves them by working collaboratively with the Project Manager and grantee/consultant as well as other parts of the organization as needed including Finance, Legal, and senior management.

 

RESPONSIBILITIES:

Working collaboratively with program directors, project managers, Finance, Legal, and senior management, the Project Administrator’s responsibilities include the following:   

 

  • Operate and maintain the Project Information Management System (PIMS), assisting project teams to monitor their contracts and awards, ensure project/contract integrity, and track results
  • Track the submission of outcome data and deliverables by grantees, alerting Project Managers to potential problems and directly interacting with grantees, where appropriate, to ensure prompt resolution
  • Receive, track and process grantee funding release requests (invoices), sharing potential problems with the Project Managers and working directly with the grantees and Finance, where appropriate, to ensure prompt resolution
  • Participate in the procurement and contracting processes to help ensure ease of later administration
  • Organize and maintain manual and electronic project files and documents to ensure compliance with audit requirements
  • Proactively identify and suggest changes to existing policies and procedures to streamline internal processes and increase operating efficiency
  • Perform administrative duties such as copying, filing, scheduling, and document distribution as part of his/her project administration duties

 

QUALIFICATIONS:

Our “candidate of choice” will have a bachelor’s degree with at least two years of experience in project administration and / or analytical business operation support.   You will have an interest in renewable energy and experience working in the public sector or a familiarity with the grant administration process.  Your quantitative, research and analytical skills coupled with your knowledge of accounting, budgets and invoicing will fit well within the Project Administration Office.  

 

Your strong interpersonal skills along with your computer/ database experience and ability to independently take the initiative to handle multiple tasks simultaneously while meeting deadlines will be keys to your success.
