Plant Administrative Assistant

About the Job


Responsible for providing administrative support to the plant in the following areas, but not limited to: reception, accounting, human resource administration, and benefits administration.  Some responsibilities will vary according to the specific plant site.


 


Primary Job Duties:


·         Process all  tasks related to the accounts payable function and maintain the petty cash fund for small purchases


·         Assist corporate and plant finance groups with monthly close cycle


·         Assist Plant Manager with human resource, corporate policy and benefit questions


·         Handle HR administrative tasks to include: assistance with new hire and exit process, notification to managers on performance review due dates, the processing of current benefits packages and the communication to all staff on issues related to the benefits, assistance with work injuries/FMLA/STD/LTD’s, process staff wellness benefits/dependent college reimbursements


·         Maintain plant personnel files in an efficient and confidential manner


·         Assist with recruitment to include; interviews, preparation of offer letters, background checks, new hire packets, perform new hire orientations


·         Coordinate the performance appraisal process to keep managers,  payroll administrator and corporate HR on schedule


·         Coordinate Human Resource efforts with other plants and Corporate


·         Assist in the coordination of events and meetings for the town, banks, corporate and site approved functions


·         Enter and update revised procedures for the company-wide database as requested


·         Provide professional phone and reception contact at the site


·         Provide back-up support to the site’s Warehouse and Materials Coordinator procurement position


·         Perform other duties as assigned.


 


Knowledge, Skills and Abilities Required:


·         5 years of experience in accounts payable and/or general accounting


·         Previous experience with financial, purchasing and spreadsheet software


·         Proficient in Word, Excel and Outlook


·         Proven skills in handling detailed work with minimum errors


·         Ability to handle highly sensitive and confidential information


·         Ability to multi-task in a fast-paced office environment


 


Education, Licenses/Certificates Recommended:


·         Associates or Bachelors Degree with an Accounting major preferred


 


Work Environment and Physical Demands:


·         Plant environment with exposure to fumes, extreme temperatures and noise


·         Ability to lift up to 25 pounds
