Description

Provide administrative support to the oncology group with the utmost confidentiality. Assist in providing quality support to ensure operations run smoothly and efficiently.

Key Tasks & Responsibilities

  • Schedule and maintain calendars with quality and efficiency.
  • Processing check requests, purchase orders and working with Finance ensure vendors are paid in a timely fashion.
  • Reconciliation of American Express Purchasing Card for department.
  • Process Expense Reports for the department members.
  • Order all office supplies.
  • Maintain supply closet.
  • Manage catering requests for in house meetings.
  • Maintain and organize filing system both hard copy and electronic.
  • Provide support to visiting EMB and others.
  • Greet and escort visitors.
  • Coordinate and provide support on special events/projects.
  • Liaise with other assistants to ensure that all meeting materials and agendas are received prior to scheduled meetings.
  • Provide administrative support at off sites.
  • Maintain and update Contact lists.
  • Maintain absence and Travel Calendars.
  • Arrange travel as needed.
  • Packaging, send and track al outgoing mail.
  • Develop PowerPoint slides as requested.
  • Coordinate the product review process for the oncology therapeutic area.

Education

  • High School diploma or secretarial degree.
  • Two years of college 8-10 years related experience.

Professional Skills & Experience

  • 5-8 years of related professional experience with senior-level management support.
  • High level of proficiency with Microsoft Office software.
  • Willing to travel (5%).
